List the services
Create a simple inventory for each client: website, hosting, domain registration, email, ordering and connected channels. Record the owner, day-to-day operator and billing contact for each. These may be different people.
Agree the handoffs
Specify who approves content, changes DNS, pays renewals, handles customer enquiries and responds to outages. Include how access is requested and removed. Avoid assuming an agency engagement automatically gives authority over every service.
Keep evidence useful
Store renewal contacts, service references and agreed recovery routes in an appropriate private place. Share credentials only through approved secure mechanisms, not ordinary project notes. Keep customer records separated between clients.
When the relationship changes
Review open work, access, ownership and upcoming renewals before handing over. Confirm that the receiving person can use the supported management routes. Agree the scope and price of additional work separately rather than inferring commercial terms from an agency label.
