Know the records involved

Your business may hold menus, recipes, stock movements, customer orders, website content and account records. These do not all live in the same system. Payment providers and connected services may keep their own records of the activities they handle.

Match responsibilities to your setup

Review the data-ownership and package terms for your chosen service. Self-managed hosting and Chyve-managed hosting place different maintenance responsibilities on your team. Ownership does not mean every record is included in every export format.

Control access

Give access only to people who need it and review connected accounts as well as workspace memberships. A support or agency relationship should have a defined scope. Keep private customer data out of public screenshots and shared documents.

Plan retrieval

Identify which supported exports and backups cover the information you need, and test that you can read them. Before a move or cancellation, agree the retrieval steps and timing.
